PDF cover sheets

Pure Administrators can configure a cover sheet that is automatically generated and prepended to PDF files.

Cover sheets are added to PDFs when they are downloaded from a Portal (both the Pure Portal or any other kind of Portal). They are also added when downloading PDFs from Pure in the Research output editor window.

 

Cover sheets can be applied to PDFs attached to the following content types:

  • Research output
  • Student thesis.

You can customize the following aspects of the cover sheet:

  • information displayed
  • colors
  • background image
  • placement of the elements.

To enable a cover sheet on PDFs:

  1. Navigate to Administrator > Research outputs > Cover sheet configuration.
  2. Set Enable cover sheet to On.
    If you want to make sure that all uploaded electronic version(s) of research output receive a cover sheet, you will need to enforce that they are valid and unencrypted PDF files by setting the Limit to PDF setting to On.

The cover sheet is defined using an XML configuration file and a background in PDF. To configure the cover sheet:

  1. Navigate to Administrator > Research outputs > Cover sheet configuration or Administrator > Student theses > Cover sheet configuration.
  2. Set the Institution name and Maximum number of authors to be shown on the cover sheet.
  3. Add or edit the XML used to define the fields shown on the cover sheet, as well as their position and styling. Using this linked example XML fil, adapt the values to fit your needs. The text editor will interactively inform you if you have selected an invalid value.
    The fields that you can include from the research output are:Title, SubTitle, Author, Link, CustomerName, Text, PublishedIn, DOI, PublicationDate, PublicationStatusDate, Citation, DocumentVersion, DocumentVersionType, PublisherRights, DocumentLicenseAccept, and DocumentLicense.

    Some common elements used to style the content are:

Free text that shows on each cover sheet regardless of the content. TextValue is used when the element's type is Text. HeaderText can be added to any element and precedes the generated content. Any text you define.
renderStyle For elements with the type Citation, choose which style they are rendered it. apa, harvard, vancouver, mla, cbe
dateFormat For dateStamp elements, the format of the date to be shown. E.g. dd. MMM. yyyy
additionalSettings This can be used in combination with the type AuthorTotal. onlyShowAuthorTotalIfLimitExceeded
If set to true, the AuthorTotal will be displayed if the amount of authors exceeds the configured limit.
  1. In the Background PDF section, drag and drop or browse for an A4 portrait-orientation PDF which will be placed under the generated text. For example, you may want to use a page with a particular background color, header and footer, or a watermark. If there is already a PDF present, click Remove then upload the PDF you want to use. Changes are saved automatically. 

    Tip You can access past PDFs used in this field under Master data > File handles, even if they have the same name as the present PDF file.

     
  2. In the Select content used for preview section, use the button to select a research output that has a PDF file attached.

    Tip On the Editor > Research outputs tab you can use the search filter Electronic version - File to search for these files.

    Note If your Pure has not recently been reindexed it is a known issue that you may not be able to see research outputs in this dialog. Use the Administrator > System settings > Search and indexing page to @search and  reindex research outputs and content will appear.

     
  3. Click Preview to generate the PDF with cover sheet for the selected research output.
  4. Once you are satisfied with the cover sheet shown in the preview, click Save cover sheet XML.

    Tip Each time you save the cover sheet XML it is archived in Master data > File handles. If you are making many small adjustments, consider previewing these many times and only saving once you are satisfied with your final cover sheet design.
